We are seeking an Outreach Office Coordinator who is team oriented, enjoys engaging with diverse communities and has a creative spirit. This person will have great organizational skills and will be computer savvy. This position includes welcoming visitors, maintaining the database and website, and coordinating logistics for community events sponsored by Community Outreach.
Job Purpose: Half-time position will move to full-time position within a 3 month period. This position is dedicated to maintaining and enhancing office functions and event logistics that support the work of Community Outreach of Our United Villages.

POSITION DESCRIPTION: Community Outreach Office Coordinator
Half-time Position (20hrs/week) will move to Full-Time Position within a 3 month period (40hrs/week)
Community Event Coordination 60%
Coordinate event logistics for 1-2 events per month for 15-100 people and all meetings.
- Coordinate food (snacks, beverages and/or full meals)
- Locate and reserve venues/coordinate venue contracts
- Arrange child care, transportation and interpretation
- Distribute press releases, calendar announcements and post requests for volunteers
- Email invitations, RSVP confirmations, reminders
- Gather supplies for events
- Participate in Set-up, registration and clean-up
Website, Database & E-Newsletter 25%
Upload content to website and newsletter; maintain community contacts for database.
- Assist with proofreading/editing of content for website
- Upload new content to website with content management system (event summaries, invites, audio, photos, images)
- Format and distribute quarterly e-newsletter with content management system
- Update and maintain community contacts in database; track event participation
Office Operations 15%
Create a welcoming environment and ensure office runs smoothly.
- Greet guests, answer phones and review voicemail
- Sort and read general email – respond or refer to appropriate person
- Note taking and transcription for Outreach meetings and events
- Manage petty cash and receipts
- Order and maintain office supplies and equipment
- Maintain office files and bulletin board
- Coordinate outreach materials with printing company
Maintain a healthy and productive work environment:
- Articulate mission, vision and activities internally and to the public
- Assist staff in fulfilling outreach goals and participate in projects and events
- Foster a sprit of cooperation with co-workers
- Maintain open lines of communication with all co-workers
- Actively participate in staff meetings and committees as requested
- Attend relevant trainings as assigned
- Adhere to employee handbook and written and verbal procedures
- Contribute to the efforts of Our United Villages by accomplishing all related tasks as needed
Proficiency with:
- Microsoft Office Suite
- Adobe Creative Suite CS3: InDesign or Illustrator, Photoshop, & Flash
Qualifications:
- Experience in coordinating event logistics
- Ability to work as a team and practice consensus style decision making
- Excellent organizational and time management skills
- Ability to participate in monthly evening and weekend scheduled activities
- Excellent oral and written skills
- Love working with the public and people from all backgrounds
- Grace and humor under pressure
- Respect for all people
- Ability to lift 25+ pounds
Desired (do not let this be a deterrent):
- Bilingual
- Resides in inner north/northeast Portland
- Experience with audio/visual equipment and software
Compensation:
- $14.00/hour
- Includes medical and dental benefits on the first of the month after 90 days of employment
